Adding Custom Employee Information in TeamOrgChart

Easily add and manage custom data fields for employees - without cluttering Microsoft Entra ID or making sensitive information too widely accessible.

Managing employee data is never a one-size-fits-all process. While Entra ID provides a standard schema for identity management, sometimes you need to store additional information that’s specific to your organization. That’s where TeamOrgChart’s Additional Information feature comes in.

Why Use Additional Information?

There are plenty of cases where you might want to store custom employee details outside of Entra ID:

  • Temporary teams or assignments: Perfect for adding short-term project groupings.
  • Sensitive data: For example, salaries or performance-related notes, useful for management but not something you want visible across every system.
  • Flexibility:Entra ID has a fixed schema, making it time-consuming to edit multiple profiles. TeamOrgChart simplifies bulk updates and keeps everything in one place.

By storing this information in TeamOrgChart, you get the convenience of editing and viewing data directly in your org chart, while still controlling how and where it’s displayed.

How to Add Additional Data Fields

Adding new fields is straightforward:

  1. Navigate to the Choose Box Content page and go to the Choose the Columns for Search, Staff Directory and Information Window section, then open the Additional Data Columns tab.
  2. Fill in the required fields. The Display Name you enter is what will be visible across your org chart.
  3. Decide whether the field should appear in the Information Window and Search Results.
  4. Click Add. Once you’ve added all the fields you need, click Save.

From there, your new attribute will be available throughout TeamOrgChart. You can also use it with features like conditional rules for powerful styling automation.

Adding Information to Employees

You can add information to your custom data fields in two ways:

1. Adding informormation to an Individual

  1. Enter Edit Mode.
  2. Click the information window button on a person's chart box.
  3. Find your additional information field and enter a value.
  4. Click Save.

2. Add Values to multiple people

  1. Enter Edit Mode.
  2. Navigate to the Edit Additional Data Chart tab. This will list everyone in your current chart view.
  3. Fill in the fields for the individuals you want to update.
  4. Save your changes.

This approach is especially useful for targeting specific teams or groups. It’s much easier and faster than editing Entra ID extension attributes.
