Set Up Checklist for Your First Org Chart
Explore eight essential steps to set up your first organization chart in TeamOrgChart, from integrating with your workflow to applying styling and publishing it for your teams.
An organizational chart is more than just a simple diagram, it’s a visual map that helps everyone on your team understand reporting lines, roles, responsibilities, and key points of contact. A well-designed and structured org chart can streamline communication, support decision-making, and make onboarding new team members smoother.
Before you dive into TeamOrgChart, consider the following checklist to ensure your first org charts are accessible, easy to read, and ready to grow alongside your organization.
1. Integrate into Your Workflow
TeamOrgChart works consistently across multiple platforms, including on the web, in Microsoft Teams, and in SharePoint. Decide where you need access to your charts, and install from Microsoft AppSource or through the Teams/SharePoint app store.
2. Assign Administrators
Visit the Security Page within TeamOrgChart to search for the people you wish to assign an administrative role. We recommend defining at least two administrators for backup and continuity.
There are three user types: Administrator, Planner, and Read-Only. These roles are strictly for use within TeamOrgChart; they do not grant any additional privileges or rights within Entra ID or Microsoft 365.
3. Define What Information Is Displayed and Where
From the Choose Box Content page, select which data columns appear in your chart boxes, reorder them, and adjust fonts, sizes, and colors.
Further down the page, you can also define whether a data column appears in the pop-up information window and employee search results, simply check or uncheck the relevant options.
Remember to click Save when you've made your changes!
4. Style Your Org Chart and Apply Your Organization’s Branding
Head to the Change Styling page to adjust the layout, size, style, and colors of your chart boxes. You can define styling for different types of chart boxes, including vacant and temporary positions, and save your changes as a template to use across your charts.
All color options accept custom hex codes, so you can match your organization's existing branding.
To further customize TeamOrgChart to integrate with your organization's visual identity, navigate to the Appearance page in the Settings drop-down menu. Here, you can set a custom brand color, upload a logo, and set a message to appear on the dashboard for all of your organization's users.
5. Create Bookmarks
Need to frequently access a specific location on your chart? Create a bookmark.
While in edit mode, open the chart box menu and click Bookmark Here. You can then rename the bookmark from the bookmark navigation bar. Individual users can set a bookmark to view on launch by clicking the star icon found on the desired bookmark’s navigation tab.
6. Hide or Show Chart Controls
TeamOrgChart gives administrators the ability to select which chart controls are available for all users. You can enable or disable features such as annotations, employee search, and export/print.
These settings can be found on the Chart Behaviour page. For large organizations, this helps keep navigation streamlined and focused on core functionality.
7. Customize Your Login Page
Configure your organization's custom login page by selecting Integration Center from the Settings drop-down menu, then clicking Configure in the Custom Login Page section.
You can customize the URL, add a title, and include a welcome message. The custom login page also uses the organization logo you uploaded on the Appearance page.
8. Publish Your Chart
To make your organizational chart accessible to others within your company, it must be published. Each chart has three publishing states:
- Private — only you can access the chart.
- Unpublished — only you and other administrators can view and edit the chart.
- Published — administrators can view and edit the chart, and read-only users can view it.
Change the status of your chart by opening the publishing window from the Actions menu or by clicking the Publish button on the chart.
